Plain language about what we collect, why, and the choices you have. The short version: we collect what it takes to run the club, we sell nothing about you to anyone, and we track nothing.

Who we are

What we collect
- Your account — name and email address, when you join or when someone at Club HQ adds you.
- What you choose to add — a phone number, a mailing address (so merit badges, club patches, and parcels can reach you), and a profile photo. All optional, all editable under My Info.
- Your purchases — what you ordered, when, for how much, and where it shipped. Your card number never touches our systems: payment happens on Stripe's secure page, and all we ever see is that you paid.
- Your club life— the merit badges you log, the notes and photos you attach, your ranks and titles. This is the whole point of the club, and it's yours.
- Junior Mountaineers— a parent or guardian makes the purchase, and the only thing we ask about the child is a name, so Whitney knows whose workbook to pack. Children don't get accounts and we collect nothing else about them.
What we do with it
We run the club: grant your season, show you your banner, pack and mail your orders, and send you the club's letters. That's the entire list. We do not sell, rent, or trade anything about you to anyone, and there is no advertising on this site — ours or anybody else's.
What other members can see
Your logs are private by default. When you log a merit badge you choose: keep it in your own journal, or share it with the troop — and only shared logs can appear on the Bulletin Board, elsewhere on the club website, or in club newsletters. A shared log is signed the way the board has always signed them: your name and hometown, with the badge, your note, and your photo. You can flip any log back to private in your journal whenever you like.
Who touches your information on our behalf
A few trusted services do specific jobs for the club, and each sees only what its job requires:
- Stripe — takes payments and calculates sales tax. Your card details live with Stripe, never with us.
- Supabase — hosts the club's database, sign-in, and photo storage.
- Vercel — runs the website.
- Shippo & USPS — your name and address, to print postage and deliver parcels.
- Resend — sends the club's emails to your address.
Beyond those, we share personal information only if the law genuinely requires it.
Receipts, welcome letters, and shipping notes come with your membership. The club's other letters — Whitney's Sunday letter, rank congratulations, milestone notes — you can turn off any time under My Info, or with the one-click unsubscribe link in any letter. We honor it immediately.
Cookies & your device
The site uses a sign-in cookie so you stay signed in, and your own browser remembers small conveniences like your basket, your light-or-dark choice, and a bit of checkout housekeeping. That's all. No tracking cookies, no analytics, no ad pixels— which is why you've never seen a cookie banner here.
How it's protected
Everything travels encrypted, the database is access-controlled so members can only reach their own information, and — worth repeating — card numbers are never stored or seen by the club.
Your choices
- See or fix what we have: most of it is right there under My Info.
- Ask what we hold, or ask us to delete it: email hq@propermountainwoman.com and a human answers. We keep order records as long as tax rules require, and the rest can go.
- Unsubscribe from club letters any time, as above.
If this page changes
We'll update the date at the top, and if a change actually matters we'll say so in the club's letters — no silent switches.
